The Gym Operations Backbone

We built a centralized gym operations platform designed to power every layer of the business behind the scenes. The GSX Admin Portal acts as the operational backbone for staff management, billing, scheduling, franchise oversight, and real-time data syncing with the mobile app. The goal was to replace fragmented tools and manual workflows with a single system that scales cleanly as the gym grows.

The Challenge

Managing a growing gym meant juggling staff payroll, trainer schedules, member billing, affiliate income, and franchise reporting across disconnected tools. Critical data lived in silos, making everyday operations slower and increasing the risk of errors. Administrative tasks required constant manual intervention, financial visibility was delayed, and the mobile app depended on inconsistent backend information. As the business scaled, these gaps began to slow operations instead of supporting them.

The Work

We designed and built a modular admin system that brings every operational layer into a unified platform. Using a Svelte front-end and a Golang API, the portal was engineered for speed, clarity, and reliability while handling dense operational data. Each module works independently but feeds into a shared data layer, ensuring accurate real-time information across internal operations and the GSX mobile app.

Comprehensive Member & Trainer Profiles

We built detailed profile hubs that serve as a single source of truth for all member and trainer data across the gym. Attendance history, internal notes, billing records, and engagement data are consolidated into one clear view, giving staff immediate context without switching systems. This foundation ensures that every interaction, from support to scheduling, is informed by accurate, up-to-date information.

Financial Orchestration

We engineered a robust billing and POS engine designed to handle recurring memberships, one-time purchases, and revenue tracking across multiple gym locations. Financial data is processed and surfaced in real time, giving operators a clear view of income, performance, and trends without waiting on delayed reports. This system brings financial clarity to day-to-day decision-making.

Member-Facing Front Desk Mode

Beyond back-office administration, we built a dedicated front desk interface designed for in-gym use. Staff can handle member sign-ups, class check-ins, and account updates directly at the point of service without breaking workflow. This creates a seamless bridge between physical gym interactions and the digital system behind them.

The Operating System for a Modern Gym

The system was built to handle the operational realities of a growing gym business. Staff management, payroll logic, and automated check-ins were unified into one workflow, while the admin portal became the single source of truth for schedules, bookings, and member data across platforms. We also introduced an affiliate revenue engine and a custom franchise module that automatically tracks commissions and handles profit-sharing between gyms and operators, removing manual overhead as the business scales.
